Ah, winter. The days feel shorter, the cooler weather is approaching, the kids are in school and a holiday retreat is beckoning. But what about your responsibilities at the office? No worries! We here at the Out of Office blog have some tips to help conquer the frenzy that always arises in the days leading up to that glorious vacation!
1) Plan ahead. It sounds simple, but can actually be hard to do. Every day, there are tons of unexpected things that pop up that eat away at the time. So, the best advice I can offer is to plan ahead for what you know is happening, so that when the unexpected comes along, it doesn’t throw you for a loop. If you know you will be away, make a list of the things that need to be done before you go. Not the things that would be nice to accomplish, but the things that must be done. Then, take a few moments to prioritize the list and start working your way down it diligently. When you’re about a day away your scheduled departure date, check to see if you can reasonably finish what’s left on the list. If not, ask for help or find a way to rearrange.
2) Designate someone to be “on call” to handle things while you are away. Whether you are out of the office for a day or a week, your co-workers, customers and clients may not be. You can avoid any unnecessary disruptions by making sure everyone knows what times/dates you’ll be out, who to contact when you’re away, and when you’ll be back online. At our office, we send out “schedule alert” emails to our team when we’re going to be offsite for a meeting, working from home, or out on vacation. This helps to keep everyone informed of our whereabouts so we can plan meetings accordingly and know how to find each other in a pinch. In fact, just this morning I sent one like this, “Team – I am doing an offsite training session today and will be away from about 10:30 to 1:30. Please call my cell if you need me.” Trust me, they work!
3) Use the resources available to you.
Sometimes it’s just not possible to totally disconnect from the office – believe me, we get that!
